Procedures for Student Organizations to Seek External Funds
1. Fill out the Preliminary Request to Seek External Funds form that includes:
a. A list of business that you will be approaching, which includes your relationship with
potential donors
b. A letter explaining your donation request, how it benefits your organization and the
University
c. Preliminary Request Form must be filled and received a minimum of 30 days prior to
external fundraising efforts.
2. Visit with your advisor in regards to your fundraising efforts and have them sign form.
3. Visit with Student Affairs in regards to your fundraiser and have them sign form.
4. Schedule a meeting with Institutional Advancement for approval of the business your organization
plans on requesting funds from. Institutional Advancement reserves the right to decline your
request or any businesses you may be asking for a donation for the betterment of the University.
5. Once approval has been given, the student organization may fundraise.
*Keep in mind that while you are fundraising for your organizations,
you are also fundraising for TAMIU.
6. Student Organizations are responsible for depositing gifts with the Office of Institutional
Advancement within three (3) days of receiving the funds, along with reporting of stewardship of any
donations. Please make sure that checks are made out to TAMIU.
a. Student Organizations will deposit funds raised with the Office of Institutional
Advancement so that the donor will receive University wide recognition and/or tax receipt
for IRS purposes. These funds will be deposited in the student organization account
provided in preliminary request form.
b. Student Organizations will write a “Thank You” note from the organization to the donor,
with a copy being provided to Institutional Advancement.
c. Student Organizations will fulfill any promises made in regards to recognition of donation,
including banners, posters, etc.
7. Student Organizations may be imposed probationary status if these fundraising procedures are not
followed, as they protect not only the Student Organization, but also the University in its fundraising
goals and opportunities.
