Troop 120
Troop 120 would like to create a Gmail account for son to allow for collaborative sharing using Google
Applications and Services. The implementation of Google Docs and GMail supports the mastery of effective
and proper email communications by scouts – an important part of their development into good citizens of the
community. Additionally, these services are collaborative tools that enhance the scouts work as individuals and
in groups, and that allow Troop collaboration and progress monitoring.
As with any educational endeavor, we feel that a strong partnership with families is essential to a
successful experience. Therefore, we are asking your permission to provide a Gmail account to your son if he
does not already have one. Once the permission slip is returned, your student will be assisted in establishing
their email address and password at an upcoming Troop meeting. If you wish to obtain a copy of your son’s
logon information, please ask him to share the pertinent information (i.e. password, email address and
logon/portal instructions). All communications from the Troop to the Scouts will continue to go to the
parents/guardians as well so you can assist them in working through their scouting experience.
Ground Rules
1. Official Email Address All scouts will be establish a account. This account will be considered
the scout’s official email address until such time as they are no longer a member of Troop 120.
2. Prohibited Conduct
Scouts email may not be used in the following ways:
 Unlawful activities
 Commercial purposes
 Personal financial gain
 False identity in email communications
 Misrepresentation of Troop 120 or the Boy Scouts of America.
 Electronic chain letters
3. Access Restriction
Access to and use of scout’s email is considered a privilege accorded at the discretion of their parent or
guardian. The parent or guardian maintains the right to immediately withdraw the access and use of scout’s
at any time. In the case of permanent restriction, they agree to contact the Scoutmaster to ensure a new
account is not registered with the Troop.
4. Security
Troop 120 cannot and does not guarantee the security of electronic files located on the Google Mail system.
Although Google does have a powerful content filter in place, the Troop cannot assure that users will not be
exposed to unsolicited information.
5. Privacy
The general right of privacy will be afforded to all users to the greatest extent possible in the electronic
environment. Troop 120 and all electronic users should treat electronically stored information in individuals'
files as confidential and private. There is an acknowledged trade-off between the right of privacy of a user
and the need of system administrators to gather necessary information to ensure the continued functioning
of these resources. In the normal course of system administration, system administrators may have to
examine activities, files, and electronic mail to gather sufficient information to diagnose and correct
problems with system software or hardware. Scouts are strictly prohibited from accessing files and
information other than their own without permission.
