Instructions for Completing Travel Expense Claims
Reimbursement for travel expenses incurred by the DSPS Regional Coordinators and other
DSPS travelers is provided through a contract with the Yosemite Community College District.
Please complete the travel expense claim following the instructions on this form. Claims must
include an original signature. Claims cannot be processed without the following information.
Please remember:
Always submit the original receipts (common carrier, hotel, parking, etc.). No meal
receipts required. Tips are NOT reimbursable, nor are hotel phone calls. Valet parking
is not allowed without extenuating circumstances.
Fill in the date/time of departure and the date/time of arrival home.
You are reimbursed on a per diem basis, which is associated with the time that your trip
begins and ends. Example: If you are coming to Sacramento for a meeting, the time you
leave your home or office is the time your trip begins. After the meeting ends or
whenever you leave the meeting, the time you actually arrive home or back to your office
is the time your trip ends.
Hotel reimbursement is only allowed if meeting site is 50 miles or more away from home
or office.
We can only reimburse you at the amount that the cheapest mode of travel would cost,
so if you are driving from southern California to Sacramento you will be out some money
because flying is cheaper.
Please use the airport shuttle rather than a taxi but if you are sharing a taxi get a
seprate signed receipt or pay one person and have them submit one receipt. Car rentals
are not permitted unless prior approval has been given by the System Office.
Claims should be submitted within 30 days from the meeting/conference to be
guaranteed payment.
