Tips for Completing Your Client Welcome Letter
You may use the attached ‘Sample’ client welcome letter as a basic outline to create your
Welcome Letter to your clients. Use the following tips to help you when crafting your
letter:

Make sure to add your company branding (logo or letterhead) at the top of your letter

Keep it to one page...clients aren’t interested in reading a lengthy novel to welcome them
●
Put the letter in your own words, so it sounds friendly and personable and like it comes
from you directly and not a template
●
Consider including a small headshot of yourself near your signature line
●
Don’t use a script font. When it comes to letters, choose a standard, easy to read font
●
Proof read your letter multiple times before sending it off to your clients. Better still, have
a friend or family member give it a onceover with a second pair of eyes
●
Triple check that you have spelled your client’s name correctly both first and last.

The way you greet your client, either by “Dear Mr. Smith” or simply “Dear John…” will
depend on your current relationship with the client. Use your own judgement
●
Make sure your letter includes the best way to contact you should your client have further
questions.

It’s important to use your real signature at the bottom of your letter and not just a script
font. This will make your letter a lot more personable. You can either sign it directly if
you are sending out a hardcopy or insert an image of your real signature.
