Twelve Months Prior
One Month Prior
Determine which shows to participate in
Review final booth structures
Decide how trade shows fit into your marketing
Confirm install and dismantle schedule

Prepare materials for shipping
Select space, determine size of footprint
Hold pre-show briefing meeting
Six Months Prior
Create binder with copies of all orders and
checks for services paid in advance
Determine exhibit needs and objectives
Show Site
Select primary vendors (exhibit house,
transportation company, installation and
dismantle supplier)
Check on freight arrival
Review existing exhibit, design new or upgrade
Check with hotel about reservations for staff, as
well as any meeting rooms and catering
Four Months Prior
Find service area, meet electrician and confirm
date and time for electrical installation
Develop your sales plan
Hold pre-show briefing with staff
Identify promotions and/or give-away items
Produce the literature and marketing materials
During Show
for the show
Conduct daily meetings with staff
Two Months Prior
Make arrangements for booth dismantle and
shipping
Carefully read exhibitor manual
Make airline, hotel and car reservations
After Show
Reserve any additional meeting rooms
Handle leads
(hospitality events, press conference, etc.)
Send thank-you notes
Submit authorization form if you are using an
exhibitor-appointed contractor
Plan your pre-show meeting
Produce new graphics
Order staff badges
Prepare paperwork and submit order forms
Develop briefing packet for booth staff
