Event Planning Checklist
Using this checklist can help make planning your next event a little easier.
Location
Check the location of the event
Find out if ordering linens, etc, is your responsibility
Planning meals
Decide whether to have a sit-down or buffet-style meal
Talk to others in charge of the event to see if they have ideas for a preferred menu
Proceed with planning the menu if you receive no ideas
Budget
Check with the appropriate party to find out what the budget is for the event
Ordering products
Begin to talk to purveyors to check costs and product availability
Remember to order the garnishes and whatever else you will need
Report your findings to others in charge of the event
Confirm that you will place the orders for these products for delivery on the specified date
Production schedules
Design production schedules for the staff
Hold a staff meeting to discuss the event and answer employee questions
Let everyone know what to prepare ahead of time and what to prepare on the day of the
event
Revise the schedule for the day of the event (as necessary)
Ask for overtime approval (if needed)
New recipes
Write standardized recipes for new menu items
Do not forget to include garnishes
Disseminate this information to staff
Make extra copies of the recipes, so they are easily accessible
The cafeteria
If your department also runs a retail cafeteria, decide whether you will need to shut down
for the day or whether you will need to offer a limited menu
Give staff plenty of warning, so that they can pack their lunches or make other
arrangements
Linens, china, and silverware
Check the linens, china, and silverware to see if you have enough
See if these items need cleaning if they are kept in-house
Order these items if you need to rent them
