Employment, Training & Rehab Secretary/Job Coach-JOB # NR730
DEPARTMENT: Employment, Training & Rehab
EMPLOYMENT STATUS: Part Time or Full Time/Non-Exempt/Hourly
REGULAR WORK SCHEDULE: 8:00 a.m. – 4:30 p.m. Monday - Friday
GENERAL OVERALL PURPOSE/OBJECTIVE OF POSITION: Responsible for administrative support functions for the
Employment, Training & Rehab department of Goodwill Industries – Knoxville, Inc. (GWIK). Responsible for providing clerical
and secretarial support to all Employment, Training & Rehab staff, assists with the departmental reporting. Responsible for
providing job coaching to clients at the facility or in the community as assigned by the ETR Coordinator.
SUPERVISION RECEIVED: Moderate. Has clearly defined daily, weekly, monthly and annual objectives and tasks. Updates the
ETR Coordinator and/or Vice President of ETR Services on day-to-day activities, as needed.
SUPERVISION EXERCISED: None.
ET&R SECRETARY/RECEPTIONIST ESSENTIAL DUTIES AND RESPONSIBILITIES:
1.
Responsible for providing clerical and administrative support to the ETR Coordinator.
a.
Responsible for assisting in/completing all monthly grant billing reports and for maintaining the department
billing files.
b.
Responsible for tracking all departmental meeting and In-Service minutes and for maintaining the departmental
files.
c.
Responsible for maintaining and updating the monthly attendance lists, as assigned.
d.
Responsible for all Client files and maintaining confidentiality of information contained within the files.
e.
Responsible for sorting, copying and preparing all referral source paperwork (Final Reports and Closure
Reports) for mailing and distribution on a weekly basis.
f.
Responsible for overseeing the ordering of and distribution of departmental supplies on a quarterly basis.
g.
Responsible for maintaining daily attendance records for the facility/department staff and calling the Kingston
Pike Receptionist with daily absences.
h.
Responsible for setting up and maintaining files for all interdepartmental memos and general correspondence
for the ETR Coordinator and/or VP of ETR Services.
i.
Responsible for maintaining phone logs, copier reports, and fax sheets and sending these to the Administrative
Coordinator each month.
j.
Responsible for updating the ETR Staff and Client Bulletin Boards on a quarterly basis.
k.
Responsible for collecting all ETR time cards bi-weekly before forwarding to the ETR Coordinator.
l.
Responsible for housekeeping checklist, safety drills, etc.
2.
Responsible for answering all incoming phone calls and directing them to the appropriate employee following the
GWIK prescribed policies and procedures, if assigned to a Satellite facility.
3.
Responsible for greeting all visitors in a pleasant manner, determining who they are here to see, assisting the visitor
in signing the Visitor Log, assigning a Visitor Pass, and contacting the person they came to see in an efficient
manner (dependant on the location assignment).
4.
Responsible for overseeing Clients assigned to the certain training programs, as assigned by the Program Manager,
ETR Coordinator and/or Vice President of ETR Services.
JOB COACH ESSENTIAL DUTIES AND RESPONSIBILITIES:
1.
Responsible for completing the new-hire and annual training as required by the DRS LOA and DIDD as applicable.
2.
May transport clients in Goodwill or personal vehicle as needed to ensure clients job-related goals are being met.
This may include but will not be limited to transporting to and from interviews, job fairs, work days, etc.
3.
Responsible for assisting with supervising and training the Clients at the assigned satellite and/or other assigned
training sites.
a.
Providing supervision for Clients in the training programs or other programs as assigned by their supervisor.
b.
Ensuring that Clients are working on assigned programs and goals.
c.
Maintaining a safe and healthy work environment for the Clients.
d.
Working to decrease the number of Clients terminated due to lack of participation by stating clear objectives at
the beginning of the rehab program and by providing consistent follow-up to ensure active participation.
e.
Working with the Program Managers to ensure that Clients are completing their work in a timely manner and that
the program is meeting the expectations of the business.
